The challenge

Repeat customers had to start from scratch

Ottawa Valley RV is a family-run mobile RV repair and seasonal-services business serving customers across the Ottawa Valley. With one van focused on propane, electrical, and plumbing work and another on structural repairs, the team travels to the customer. Much of that work follows a seasonal rhythm, so repeat relationships matter: clients return for opening-season preparation, repairs, and winterizing.

The company’s administration evolved from phone calls and paper work orders to spreadsheets and then JotForm. The form worked at first. In its second year, however, founder William Makort saw revenue fall even though the team remained busy, and returning customers were not coming back at the same rate. He traced a likely source of friction to the service-request experience.

Every time a client needed service, the form asked for the same essentials again: name, home address, contact details, and RV information. A loyal customer who had already supplied those details still had to rebuild the record before explaining the new job.

Customers open the portal from the Ottawa Valley RV website, then sign up or log in using a one-time password instead of managing another permanent password.

The portal connects identity, service intake, routing, payment, and follow-up in one journey:

  1. Create the client profile once: On the first visit, a customer enters their name, contact information, address, and RV details.
  2. Prefill every future request: Service forms pull those profile fields forward automatically. Returning clients only add what has changed, such as their current location, the issue, and the work required.
  3. Choose the right service: A portal menu routes clients to tailored forms for initial assessments, opening season, winterizing, and other jobs, so the team receives questions relevant to the requested work.
  4. Personalize the next visit: After the first order, the team marks the client as Returning in the backend. Formaloo automatically replaces the initial-service experience with the returning-client view and removes the one-time administrative fee from that journey.
  5. Offer payment choice: Customers can pay by credit card or use e-transfer if they prefer not to enter card details online.
  6. Keep both sides informed: Each order triggers an internal email with the customer and job details. The customer receives an automatic confirmation with the request summary, cost breakdown, and next steps.

A portal that changes as the customer relationship changes

The central capability is not simply login access. Ottawa Valley RV uses profile data and customer status to change what each person sees. A new client gets the setup and initial-service path. Once the team updates that status, the same account opens into a returning-client experience built around repeat service.

That distinction reduces the burden on loyal customers while preserving the extra information the team needs for a first visit.
