The ability to send custom email notifications based on survey or form responses is important for businesses and organizations.
With logic-based notifications, you can automatically send different email templates to specific people based on their form answers. For example, positive feedback could trigger a thank-you email, while constructive feedback could prompt a different response.
In this post, we will show you how to send logic email notifications. This will help you personalize communication with your audience and automate your workflow.
Why use conditional emails?
Let’s say you’ve just hosted a company event and want to gather feedback from your attendees. You made a feedback form with questions about their experience.
Based on their answers, you want to send personalized follow-up emails. For example, you may want to send a thank-you email for positive feedback. You can also send an email for suggestions on improvement when you receive constructive criticism.
This is where logical notifications shines. It lets you send emails based on specific responses. This makes sure the message is relevant to the recipient's experience.
With Formaloo, you can easily set up custom email notifications based on specific rules. This saves you time and makes the experience more personal for your users.
How to set up conditional emails in Formaloo
The ability to send conditional emails is available for Formaloo's Team and Enterprise plan users. Below is a step-by-step guide on how to use this feature:
1- Create email templates: Before you set up conditional notifications, first create the email templates you will send. For our example, we’ll create two templates:
- A thank-you email for attendees who rated the event as “Excellent” or “Good.”
- An improvement suggestions email for those who rated the event as “Fair” or “Poor.”
2- Set up your feedback form:
For this example, imagine your feedback form includes a question like:
“How would you rate the event?” with options such as:
- Excellent
- Good
- Fair
- Poor
When setting up the feedback form, make sure to include the following:
- Add an email field: This is crucial for collecting respondents’ email addresses, allowing you to send follow-up emails.
- Turn on the "Send email to respondents" option. After you create the email field, go to the form’s Notify tab. Then, switch on the option to send emails to respondents. This ensures that respondents will receive the emails you’ve set up based on their answers.
3- Open the Form’s Editor: Go to the form you created in Formaloo and click to open the editor. Select the field with the rating question (e.g., “How would you rate the event?”).
4- Access advanced logic: On the right-hand sidebar, select Logic and scroll down to Advanced Logic. Here, you can set up rules based on the user’s responses.
5- Set up conditional email rules:
- Under "On Submitting the Form," click Add Rule to create your first condition.
- Rule 1: If the answer to "How would you rate the event?" is “Excellent” or “Good,” then send the Thank You Email template.
- Rule 2: If the answer is “Fair” or “Poor,” then send the Improvement Suggestions Email template.
You can add as many rules as you need, depending on how many conditions you want to cover. These rules allow you to ensure that every respondent receives the appropriate follow-up email based on their feedback.
6- Test your logic: After you add your rules, you can test the form. This will help you verify whether the right emails get sent based on the responses. This ensures everything is working smoothly before your form goes live.
And that's it! Using logic with email notifications can help you automate your follow-up process. This makes it more efficient and personal.
Benefits of using conditional logic for automated email notifications
There are several advantages to setting up conditional emails based on form submissions:
- Personalized Communication: Respondents feel more valued when they receive emails that directly address their feedback or experience.
- Increased Engagement: Customized responses can lead to more interaction. They can guide users to additional resources or invite them to future events.
- Time Savings: Automation reduces manual follow-ups. This gives you and your team more time for other important tasks.
